About the Role
The Accounts Payable Specialist (Retail) is responsible for managing the end-to-end accounts payable process for a retail business. This includes invoice processing, validation of purchase orders and units of measure, ensuring proper routing and approval workflows, and supporting month-end closing activities. The role requires a strong attention to detail, familiarity with retail operations, and the ability to work efficiently in a fast-paced environment.


Key Responsibilities

  • Process vendor invoices accurately and timely, ensuring compliance with company policies and approval workflows.
  • Match purchase orders, receipts, and invoices (three-way matching) with attention to units of measure and pricing accuracy.
  • Ensure proper routing for invoice approvals and resolve any discrepancies with internal departments or vendors.
  • Maintain accurate records of all payable transactions in the accounting system.
  • Prepare weekly or biweekly payment runs and support cash flow forecasting.
  • Assist in reconciling accounts payable to the general ledger.
  • Support month-end and year-end closing processes, including accruals and reporting.
  • Collaborate with procurement, logistics, and inventory teams to ensure proper documentation and process alignment.
  • Respond to vendor inquiries and maintain positive vendor relationships.
  • Recommend process improvements to streamline accounts payable operations.
  • Qualifications

  • Bachelor’s degree in Accounting, Finance, or related field preferred.
  • 2+ years of accounts payable experience, ideally in the retail or FMCG industry.
  • Strong understanding of units of measure and invoice approval workflows.
  • Experience with accounting or ERP systems (e.g., NetSuite, SAP, QuickBooks, Xero).
  • Proficiency in Microsoft Excel and other Microsoft Office applications.
  • High attention to detail and accuracy; strong organizational skills.
  • Excellent communication skills, both written and verbal.
  • Ability to work independently with minimal supervision. 
  • Comfortable working on a graveyard schedule.
  • Must be readily available to start.
