POSITION SUMMARY The Clinical Assistant II supports the Genetic Counseling team by assisting with patient care (results tracking, results call out, appointment scheduling, information intake, etc.), managing follow-up data collection, facilitating communication between departments, and contributing to product improvements, abstract submissions, and student rotation coordination. This role ensures the efficient operation of clinical and administrative processes to enhance team productivity and patient outcomes.

PRIMARY RESPONSIBILITIES

  • Act as a liaison between Shipping, Sample Accessioning, Customer Support, and lab teams to troubleshoot issues, verify samples, and streamline processes.
  • Support data collection for internal projects, product development, and abstracts; provide review and edits for authored abstracts.
  • Participate in team meetings to discuss ongoing tasks and initiatives.
  • Coordinate student rotation schedules, ensuring a smooth onboarding process.
  • Manage clinical assistant-specific duties, including:

o Reviewing incoming referrals and requesting additional documentation or clarification as needed.

o Scheduling and coordinating patient appointments.

o Requesting and tracking sample collection kits and addressing patient questions regarding samples.

o Tracking results and communicating simple results to patients.

o Updating internal databases regarding test development progress and maintaining notes in LIMS for patient or provider interactions.

o Collecting transfer and pregnancy outcome data from clinics and patients.

o Assisting genetic counselors with clinic and customer support inquiries.

o Coordinating patient record release requests.

o Assisting genetic counselors in tracking licensure applications and status for various states.

  • Ensure compliance with HIPAA/PHI privacy regulations and complete all necessary training within the first 30 days of hire.
  • Perform other duties as assigned.

QUALIFICATIONS

  • Required: High School Diploma.
  • Preferred: Bachelor’s degree in biology, allied health, or a related scientific field.
  • Candidates pursuing a four-year bachelor’s degree with 2-3 years of professional experience in biotech, life sciences, or a related industry will also be considered.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Proficiency with Microsoft Excel, Google Workspace (Gmail, Docs, Sheets), and other office tools.
  • Exceptional organizational skills and attention to detail.
  • Ability to work collaboratively and communicate effectively across teams.

PHYSICAL DEMANDS & WORK ENVIRONMENT

  • Duties are primarily performed in a remote setting.
  • Requires the ability to use a computer keyboard, communicate over the telephone, and read printed or digital materials.
  • May occasionally require working outside normal business hours, including evenings and weekends.
The pay range is listed and actual compensation packages are based on a wide array of factors unique to each candidate, including but not limited to skill set, years & depth of experience, certifications and specific office location. This may differ in other locations due to cost of labor considerations.
