We’re looking for a proactive and detail-driven Admin Assistant who thrives in building efficient systems, enjoys creating structure, and takes pride in high quality admin work. The role is ideal for someone who loves organization, embraces automation and AI tools, and is eager to leave their mark on how things run.

Responsibilities:

  • Manage calendars, emails, and meeting coordination to a high professional standard
  • Maintain managements schedule, arranging internal and external meetings.
  • Track and manage management’s tasks, ensuring deadlines are met and priorities addressed.
  • Arrange external meetings, travel bookings, and logistics for key stakeholders.
  • Build and maintain administrative systems and workflows.
  • Write and maintain internal procedures and documentation.
  • Handle invoicing, including raising invoices and processing payments (able to build a process around requirements).
  • Preparing invoices and managing payments.
  • Support light project management tasks and assist with cross-functional coordination.
  • Identify opportunities to automate workflows using tools like Zapier and AI solutions.
  • Use Plaude AI to review meeting recordings and extract relevant actions or summaries.
  • Maintain accuracy across all admin touchpoints with strong attention to detail.
  • Collaborate with the team to collect feedback, monitor performance, and ensure alignment.
  • Take initiative to improve processes, bring new ideas, and “own” your domain.
  • Perform other administrative duties as required, adapting to evolving business needs.
  • To be successful in this role, you will have;


  • Essential Tools:
  • Microsoft 365
  • Google Suite and Google drive
  • Familiarity using AI
  • Familiarity using automation tools
  • Nice to have:
  • Plaude AI
  • Brandfolder
  • Zapier and other automation AI tools similar to Zapier
  • SmartSheets (familiarity with the tool would be highly regarded)
  • Soft Skills:
  • Exceptional written and verbal communication skills.
  • Has strong organizational skills and thrives in a fast-paced environment.
