About This Role:

We are looking for a highly strategic, resourceful, and detail-oriented Executive Assistant to partner closely with our CEO. This is more than an administrative role — it’s a high-impact position at the center of the executive function, with direct exposure to key customers, company leadership, and sensitive internal initiatives. As the CEO’s right hand, you’ll be responsible for orchestrating their schedule, streamlining internal logistics, and ensuring our highest-priority relationships and meetings are well-managed and flawlessly executed.

This role is ideal for someone based in San Francisco who thrives on both strategic planning and hands-on execution, and who brings a high level of discretion, judgment, and initiative to every interaction.

What You’ll Do:

Executive Support

  • Manage and optimize the CEO’s calendar across personal and professional domains, ensuring alignment with shifting priorities, long-term goals, and urgent business needs.

  • Coordinate complex domestic and international travel for the CEO, handling end-to-end logistics and delivering thorough, real-time itineraries.

  • Track action items from meetings and communications, proactively managing follow-ups and deadlines.

  • Maintain confidentiality and discretion while handling sensitive company and personal information.

Stakeholder & Customer Coordination

  • Schedule and manage external calls and meetings with high-value customers, partners, and investors, often acting as the first point of contact on behalf of the CEO.

  • Ensure meeting preparation materials are compiled and accessible ahead of time.

  • Assist with light-touch relationship management by keeping notes, tracking preferences, and anticipating follow-ups.

Executive Team Logistics & Coordination

  • Collaborate with in-house executives and chiefs of staff to coordinate leadership team calendars, align meeting cadences, and streamline logistical planning (e.g., offsites, board meetings, major internal events).

  • Ensure that executives are where they need to be, when they need to be there — whether virtually or in person — with sufficient context and preparation.

Operational Leadership

  • Proactively identify and resolve inefficiencies in scheduling, communication, and information flow for the CEO and broader executive team.

  • Serve as a hub of communication across leadership to minimize time spent on coordination and maximize time spent on strategy.

  • Occasionally assist with special projects, internal communication drafts, or executive presentation preparation.

Who You Are:

  • Located in San Francisco and willing to commute regularly to be in person with the CEO

  • 6+ years of experience supporting high-level executives or founders in a fast-paced environment

  • Demonstrated success in an EA, Chief of Staff, or high-level operations role where you managed executive calendars, stakeholders, and strategic priorities

  • Highly organized, adaptable, and capable of managing competing priorities without sacrificing attention to detail

  • Clear and professional communicator — written, verbal, and interpersonal

  • Tech-savvy and fluent with tools like Google Workspace, Slack, Notion, Zoom, Superhuman, and calendaring platforms

  • Unwavering discretion and sound judgment in handling sensitive matters

  • Ability to think ahead, anticipate needs, and act without waiting to be asked

Bonus Points

  • Experience in startup, venture-backed, or high-growth company settings

  • Background interfacing with external stakeholders (customers, board members, press, etc.)

  • Familiarity with executive-level reporting and meeting planning
